What's Inside the Board Pack

  • Cover & instructions: workbook overview and update cadence.
  • Inputs tab: a single source of truth for ARR, revenue, OpEx, cash, and customer counts. Update once per quarter; every other tab pulls from here.
  • KPI Dashboard: ending ARR, NRR, GRR, gross margin, operating income, burn, CAC payback, burn multiple, all auto-calculated by quarter.
  • ARR Waterfall: opening ARR + new + expansion − contraction − churn = ending ARR, the standard format every board expects.
  • Cash & Runway: cash balance, quarterly burn, implied runway in months.
  • Hiring Plan: open roles, base, bonus, equity, benefits load, fully loaded cost calculated automatically.

Why Board Reporting Quality Matters

Investors rarely vote against funding because of a bad metric. They vote against funding because of a bad explanation of a metric. A clean board pack lets you control the narrative: this is what happened, why it happened, and what we're doing about it. A messy pack puts investors in the position of having to interpret your data themselves, which is when assumptions about your operational rigor start to slip.

How to Use This Template (Quarterly Workflow)

  1. Update the Inputs tab with the quarter's actuals: ARR movements, GAAP revenue, OpEx by department, cash balance, customer counts, new bookings.
  2. Review the KPI Dashboard, every metric recalculates automatically. Look for trends, not single-quarter spikes.
  3. Open the ARR Waterfall to identify whether growth is coming from new logos, expansion, or whether churn is masking the underlying motion.
  4. Check Cash & Runway, if runway is under 12 months, that's the headline of your next board meeting.
  5. Update Hiring Plan, fully loaded cost auto-calculates so you can defend headcount asks.
  6. Export the relevant tabs to your board deck or send the workbook as an appendix.

Board Reporting Best Practices

  • Send the pack 48 hours before the meeting, so the meeting itself is for discussion, not data review.
  • Pair every metric with a one-line narrative. Numbers without context create anxiety.
  • Always show the same metrics in the same order, every quarter. Consistency builds trust.
  • Flag what's off-plan honestly. Investors discover bad news either way; getting it from you first is always better.
  • Include a clear "asks" section, board members are most useful when they know exactly how to help.

Who This Template Is For

Founders, CFOs, and finance leads at venture-backed SaaS companies between Series A and Series C. The structure works for usage-based, subscription, and hybrid revenue models. If you're producing board materials in a hurry every quarter and want a stable, defensible starting point, this is it.

Frequently Asked Questions

How long does a quarterly update take?

After the first setup (about 30 minutes to enter your historical data), each quarterly refresh takes 20 to 40 minutes if your books close on time.

Can I add my own metrics?

Yes. The Inputs tab is structured so you can add new rows and reference them on the KPI Dashboard with the same formula pattern.

Does it support non-SaaS businesses?

It's optimized for subscription revenue. Marketplaces, services firms, and e-commerce will need to replace ARR-specific metrics with their equivalents (GMV, MRR-equivalent, repeat rate) but the structure transfers cleanly.
